Position Description
The operations analyst position is located in the Clerk's Office, U.S. District Court and reports to the Division Manager. The position includes mixed duties that provide various administrative and technical assistance to ensure the smooth and efficient management of the office. The operations analyst functions with a broader knowledge of office policies and procedures. The incumbent assists Tampa management with case administration, quality control, court administration, courtroom services, and public services. The incumbent is responsible for ensuring the integrity and efficiency of the court's databases. The incumbent assists with staff training, monitoring, and evaluating all aspects of data quality assurance within the Clerk's Office and advises management of findings. The incumbent also assists with attorney admissions by providing administrative and technical support to ensure the efficient and accurate management of the court's bar membership. The position is a resource for lawyers, management, and staff on administrative and operational matters related to the attorney roll, compliance, court bar membership, and CM/ECF compliance. The position is responsible for providing support to management regarding various issues (procurement, space and facilities, new and departing employees, etc.).
The operations analyst will assist the Tampa operations department by performing the following duties and responsibilities:
- Monitors and evaluates the in-house accuracy and quality control of data entered into the automated case management systems
- Collects, analyzes, and validates case management and other reports to ensure accurate and complete system reports and information
- Analyzes and evaluates the procedures and work of persons responsible for entering database information
- Assists with the operational management of the division's docketing, intake, appeals processing, new case openings, data quality analysis, imaging, finance, and filing
- Provides administrative and operational support for regular court functions and special projects
- Arranges video conferences and meetings as directed
- Assists management with various division-specific issues (space and facilities, employee parking, transcript orders, contract court reporters, procurement, onboarding new employees, etc.)
- Assist with overseeing the CM/ECF attorney admissions database, verifying re-registration, admission, and ECF registration information applicable to the CM/ECF database.
- Assist with managing lawyer admissions districtwide to ensure both an accurate and efficient process for membership in the court's bar. Monitor the lawyer admission email box and Helpdesk.
- Ensure lawyers with access to the electronic filing systems are in compliance with court bar membership requirements. Maintain control records. Analyze reports about lawyers with access to CM/ECF and PACER.
- Assist lawyers and litigants with issues related to CM/ECF logins and passwords
- Perform attorney admission coordination tasks including drafting orders and reviewing payment. Assist with lawyer admission ceremonies (in person and by telephone), including coordinating, organizing, and supporting admission ceremonies.
Qualification
Three years at a progressively responsible administrative level which demonstrates the particular knowledge, skills, and abilities to successfully perform the duties of this position. Requires a professional, cooperative, and congenial demeanor at all times and strong administrative, organizational, analytical, and writing ability. Requires solid computer skills, preferably with Word and Windows. Bachelor's degree preferred.
