Overview of the Position The U.S. District Court for the Western District of Texas is recruiting for the position of Operations Clerk in El Paso, Texas. The incumbent performs various functions and is responsible creating electronic sound recordings and log notes for court proceedings. In addition, the incumbent may perform intake or docketing duties and will be responsible maintaining and processing case information from opening to final disposition.

Position Description

Duties may include some or all of the following:

  • Attend court sessions and conferences as required to create electronic recordings and log notes of all court proceedings using the court's electronic sound recording equipment
  • Ensures in advance that electronic sound recording equipment is in working order
  • Complete and edit log notes for each proceeding to ensure accuracy
  • Certifies that the audio is accurate and complete
  • Uploads audio files to their corresponding cases in CM/ECF, per divisional protocol
  • Reviews transcript requests for accuracy to ensure they meet the court’s formatting standards
  • Prepares and delivers audio recordings to requesting parties
  • Assists the courtroom deputy with the orderly flow of proceedings, including but not limited to setting up the courtroom, assuring the presence of all necessary participants, and managing exhibits
  • Receives and reviews incoming documents via traditional and electronic media to determine timeliness and conformity with appropriate rules
  • Notifies district court personnel, attorneys, and others when filing requirements are not met
  • Issues deficiency notices or notices of correction when appropriate
  • Identifies time-sensitive motions and documents that require special handling and refers them to appropriate personnel immediately upon receipt
  • Prepares and/or transmits to appropriate parties' items such as notices, judgments, and orders
  • Rotates and learns other office roles to serve as backup in other functional areas, which may include mail, finance, jury, relief courtroom deputy, as needed or as directed by manager or supervisor

Qualifications

  • Minimum of two years of progressively responsible clerical or administrative experience
  • Bachelor's degree preferred
  • Excellent customer service, communication, and organizational skills
  • Prior electronic sound recording experience highly desirable
  • Attention to detail and accuracy, and ability to perform quality control
  • Interact effectively and appropriately with others as a team
  • Must be able to process a high volume of paperwork, the ability to multi-task, and prioritize and manage own workload
  • Proficient data entry skills
