Overview of the Position The case administration clerk performs various functions and is responsible for maintaining and processing case information and assists in managing the flow of bankruptcy cases and related adversary proceedings, in accordance with approved internal controls, procedures, and rules. The incumbent performs customer service and cashier duties, provides procedural information, and collects court fees as well as performing initial case docketing and completes administrative tasks as assigned. The case administration clerk will work towards becoming proficient at managing the progression of cases from opening to final disposition, including but not limited to managing the progression of cases, maintaining official case records, monitoring the completion of required procedural steps, preparing case documents for appeal, and reviewing filed documents to determine appropriate action with conformity of all local and federal rules and procedures.

Position Description

Representative Duties

  • Assist customers who visit the Clerk’s Office with filing, inquiries, information, and basic procedural filing information without giving legal advice.
  • Serve as records and reproduction clerks and/or case initiation clerks.
  • Reviews and enters new cases and proceedings, claims and selected motions, and orders. Take follow-up actions on common motions or other pleadings by routing to Chambers, enter standard defined notices and virtual orders, and email case management supervisors and/or Courtroom Services for additional review, to set hearings or other deadlines and statistical data, as appropriate.
  • Run reports for selected common/basic case documents filed by electronic filers and perform standard quality control and standard editing/corrections.
  • Route documents and questions to case managers or additional staff for other actions after receipt, scanning, and entry of complex matters received by mail or at Intake, such as pro se adversary complaints, answers, or notices of appeal.
  • Operate a variety of copying, scanning, and other office equipment. Answer and route incoming calls. Act as Receiving Clerk. Collect and receipt fees, certify copies, and assist with records requests. Provide basic information by phone, mail or email to public, bar, and the court.
  • Assist the public in use of computerized databases and basic helpdesk support for ECF.
  • Receive audio files from Courtroom Deputies and upon payment, transmits files to requester by email.
  • Transmit notices and assists with mail preparation and mail log. Perform end-of-day joint reconciliation with reconcilers. Ensure accuracy of logs and fee information.
  • Assist Chambers, IT, procurement, and other operational staff with inquiries, deliveries, and entry of common orders, such as those in Chapter 7 and 13 cases.
  • Assist case managers with processing daily deadlines and common matters in Chapter 7 and Chapter 13 cases on an ad-hoc basis upon training.
  • Review fee and installment information in ECF and ACR for codes and amounts. Ensure final installments are properly recorded. Process, receipt, and enter historical fees and unclaimed funds.
  • Performs other related duties as assigned.

Qualifications

To qualify, an applicant must have:

  • A high school diploma or equivalent and a minimum of three years progressively responsible administrative, technical, or professional experience.

The successful candidate should demonstrate:

  • Excellent organizational skills, attention to detail, and experience handling multiple tasks and projects;
  • Excellent verbal and written communication skills and the ability to work effectively with a variety of people, either in person or on the phone;
  • Ability to maintain professional demeanor, exercise mature judgment, and be a dependable and flexible team participant;
  • Proficiency in using automated systems; and
  • Ability to work with strict deadlines in a fast-paced environment.

General Experience

Preferred Skills/Experience

  • A Bachelor’s degree from an accredited college or university.
  • Experience in a bankruptcy or legal field and familiarity with CM/ECF.
  • Prior federal experience with knowledge of Case Administration in the federal judiciary.
